MSIPC Board of Directors Job Descriptions

PRESIDENT

Purpose: The president provides leadership to the Board of Directors and membership of the organization. The president manages and directs the activities of the Board of Directors and assumes responsibilities as Chief Executive Officer.
Duties & Responsibilities:
  1. Provides leadership to accomplish the mission, goals & objectives of the organization.
  2. Presides at all meetings of the membership and Board of Directors.
  3. Serves as an ex-officio member of all committees.
  4. Votes on motions before the Board of Directors only in the event of a tie.
  5. Contributes one article for each scheduled publication of the organization newsletter during the term of office.
  6. Directs the function of the organization's Administrative Assistant.
  7. Represents, or appoints liaisons with Board approval, to represent interests of the membership in professional collaborative efforts, as requested.
  8. Coordinates work of Board members and committees of the Board.
  9. Assists Administrative Assistant in preparing agenda for Board meetings.
  10. Facilitates communication between Board members and Administrative Assistant.
  11. Acts as official spokesperson for the Board.
  12. Works with Board members to orient new Board members.
  13. Works with Member Services Committee to recruit new Board members.
  14. Serves as mentor for president-elect.
Minimum Qualifications:
  1. Minimum of two years work experience in infection control, epidemiology, or related field.
  2. Articulates and demonstrates commitment to the mission, goals and vision of the organization.
  3. Demonstrates leadership ability, including written and verbal communication skills, effective facilitation, team building.
  4. Knowledge of various levels of care for patient/resident/client population representative of membership.
  5. Current active MSIPC membership.
  6. Recent Board experience.


PRESIDENT-ELECT

Purpose: The president-elect is a "President in training". Assists the President as requested/directed. Succeeds to the presidency at completion of the PE's term or should the office be vacated before completion of the term, serving the former president's unexpired term as well as the full term as president he/she was elected to.
Duties & Responsibilities:
  1. Work closely with the president to become familiar with duties and responsibilities of the president's position; develop rapport and a positive working relationship with the president and administrative assistant.
  2. Serves as parliamentarian at organizational meetings.
  3. Carries out duties of the president in latter's absence.
  4. Assumes delegated tasks from the President and Board of Directors.
  5. Acts as archivist and organization historian.
  6. Attends all Board meetings.
  7. Assume office the president when the current president's term expires.
  8. Assist Professional Development Chair in roles and responsibilities.
  9. Communicates relevant progress of special projects as assigned; report committee progress at each Board and general membership meeting.
Minimum Qualifications:
  1. Minimum of two years work experience in infection control, epidemiology, or related field.
  2. Current active MSIPC membership.
  3. Recent Board experience.
  4. Articulates and demonstrates commitment to the mission, goals and vision of the organization.
  5. Demonstrates effective interpersonal and communication skills.


TREASURER

Purpose: Maintains financial responsibility and accountability of MSIPC. Coordinates acquisition and disbursement of the organization's funds.
Duties & Responsibilities:
  1. Attends all Board meetings.
  2. Ensures that Board's financial policies are being followed.
  3. Provides regular reports to the Board on the financial health of the organization.
  4. Assists the Administrative Assistant in preparing the organization's annual budget.
  5. Finalizes budget and presents to Board of Directors for approval.
  6. Regularly reports on financial status to the membership.
  7. Facilitates filing of Federal Income Tax, State Annual, and Charitable Trust reports annually.
  8. Ensures audit by a CPA at least annually and as needed.
Minimum Qualifications:
  1. Minimum of two years work experience in infection control, epidemiology, or related field.
  2. Current active MSIPC membership.
  3. Ability to maintain checking and saving account records.
  4. Articulates and demonstrates commitment to the mission, goals and vision of the organization.
  5. Basic computer skills preferred.
  6. Able to be bonded.


SECRETARY

Purpose: To record, maintain and disseminate all board records and documents, and ensure the accuracy of meeting minutes.
Duties & Responsibilities:
  1. Attends all Board meetings.
  2. Records the minutes of all Board and general membership meetings.
  3. Distributes written notification to all board members of the times, dates and locations of all meetings.
  4. Maintains records of the board and ensures their safety.
  5. Maintains a current register of board members? addresses and telephone numbers, and distributes to all Board members.
  6. Makes minutes and other records available to all members upon request.
  7. Distributes minutes of Board of Director?s meetings to all Board members within 30 days of the meeting.
  8. Provides minutes of general membership meetings for the next edition of the organization?s newsletter.
  9. Obtains information from prior records and minutes to assist Board members with decision-making as necessary.
Minimum Qualifications:
  1. Minimum of two years work experience in infection control, epidemiology, or related field.
  2. Current active MSIPC membership.
  3. Communicates articulately verbally and in writing.


ADVOCACY CHAIR

Purpose: To facilitate communication and collaboration with external agencies
Duties & Responsibilities:
  1. Determine the appropriate number of working group members needed for the functions required, select work group members based on responses from the membership?s willingness-to-serve.
  2. Establishes and maintains interactive relationships and communications between the Board and Michigan based regulatory agencies (e.g., MDCH, MIOSHA, MDCIS), and accrediting or other health-related agencies and authorities (e.g., HCFA, JCAHO).
  3. Interacts with local, state and federal officials as the official MSIPC representative.
  4. Apprises Board and general membership on current local, state and federal legislative issues, and revisions to existing legislation.
  5. Supports and advises Board regarding potential actions needed to realize the mission of MSIPC in the legislative and regulatory arena.
  6. Promotes science-based practices supported by MSIPC.
  7. Maintains current collaborative relationships with professional organizations with mutual or overlapping interests (e.g., APIC, MHA/AHA, MIDS, MSMS, HCAM).
  8. Attends all Board meetings.
  9. Communicates relevant legislative, regulatory and accreditation matters and reports working group progress at each Board and general membership meeting.
  10. Provides regular updates to the membership via MSIPC newsletter and other communication devices.
  11. Develops processes to encourage member participation in the legislative and regulatory process.
  12. Oversees Governmental, Regulatory and Public Affairs work group activities.
  13. Monitors and supports timeliness of work accomplishments by assuming tasks as necessary.
Minimum Qualifications:
  1. Minimum of two years work experience in infection control, epidemiology, or related field.
  2. Sufficient experience and expertise to develop relationships and maintain credibility with regulatory agencies and health authority contacts.
  3. Current active MSIPC membership.
  4. Proactive interest and experience in regulatory and legislative issues.
  5. Communicates articulately verbally and in writing.


INFORMATION TECHNOLOGY CHAIR

Purpose: To increase communication and access through the use of information technology
Duties & Responsibilities:
  1. Determine the appropriate number of working group members needed for the functions required, select work group members based on responses from the membership?s willingness-to-serve.
  2. Oversees Library, Newsletter, Website and Information Management work groups activities.
  3. Serves as the liaison to the Board and administrative assistant on information technology use.
  4. Advises the Society on provision and dissemination of information resources to the membership (e.g., library resources).
  5. Collaborates with MSIPC newsletter editorial work group on operational issues.
  6. Collaborates with Programs and Education work groups to facilitate use of information technology in educational offerings.
  7. Assists with management and identifies strategies for application of information technology, including but not limited to electronic networking, MSIPCweb, communication vehicles (e.g., MSIPC newsletter), distance learning, and on-line forums.
  8. Oversees and advises the Society on appropriate application of information technology to serve the needs of the membership and consumers.
  9. Attends all Board meetings.
  10. Reports working group progress at each Board and general membership meeting.
  11. Provides MSIPC newsletter updates regularly.
  12. Monitors and supports timeliness of work accomplishments by assuming tasks as necessary.
Minimum Qualifications:
  1. Minimum of two years work experience in infection control, epidemiology, or related field.
  2. Current active MSIPC membership.
  3. Internet access.
  4. Interest in information technology.


PROFESSIONAL DEVELOPMENT CHAIR

Purpose: To coordinate and facilitate activities of the working groups. To assist furthering development of epidemiology and infection control programs and support individual professional growth. Support the team leaders and administrative assistant in planning, organizing, monitoring and evaluating educational offerings (e.g., bi-annual conferences, basic training course, computer training courses) sponsored by MSIPC.
Duties & Responsibilities:
  1. Determine the appropriate number of working group members needed for the functions required, select work group members based on responses from the membership?s willingness-to-serve.
  2. Oversees Professional Practice and Research, Programs, Education work group activities and functions.
  3. Monitors logistics of conferences and educational program planning.
  4. Attends all Board meetings.
  5. Reports working group progress at each Board and general membership meeting.
  6. Monitors and supports timeliness of work accomplishments by assuming tasks as necessary.
  7. Provides MSIPC newsletter updates regularly.
  8. Facilitates development of new educational offerings requested by the membership, and arranges for provision of CEU credits.
  9. Facilitates compliance with CEU requirements for educational offerings.
  10. Assures standardized format for all educational offerings.
  11. Coordinates with team leaders and Administrative Assistant to assure conference logistics, financial obligations, correspondence, mailings, etc. are appropriately managed.
Minimum Qualifications:
  1. Minimum of two years work experience in infection control, epidemiology, or related field.
  2. Current active MSIPC membership.
  3. Interest in research, information technology, or educational program design.
  4. Communicates articulately verbally and in writing.


ORGANIZATIONAL PROMOTIONS CHAIR

Purpose: To promote an awareness of MSIPC, its activities, resources, and products to health care professionals with an interest or investment in infection control.
Duties & Responsibilities:
  1. Determine the appropriate number of working group members needed for the functions required, select work group members based on responses from the membership?s willingness-to-serve.
  2. Oversees Marketing and Exhibits work groups activities.
  3. Assume tasks delegated from the Board.
  4. Attends all Board meetings.
  5. Reports working group progress at each Board and general membership meeting.
  6. Collaborates with the administrative assistant to respond to requests or communication from members and other in need of information regarding MSIPC.
  7. Collaborates with the administrative assistant to maintain, distribute and sell resource materials and MSIPC products.
  8. Facilitates vendor and exhibit support for MSIPC.
  9. Monitors and supports timeliness of work accomplishments by assuming tasks as necessary.
Minimum Qualifications:
  1. Minimum of two years work experience in infection control, epidemiology, or related field.
  2. Current active MSIPC membership.
  3. Ability to dedicate the needed time to accomplish responsibilities and duties required.
  4. Easy access to postal services to facilitate ongoing mailing of marketing materials.
  5. Communicates articulately verbally and in writing.
  6. Interest or experience in public relations and/or promotional activities.


MEMBERSHIP CHAIR

Purpose: To promote communication among members with specific areas of interest (e.g., long-term care, home care, acute care); to facilitate communication and collaboration between the special interest work groups, programs and education work groups, nominations work group, and the Board.
Duties & Responsibilities:
  1. Determine the appropriate number of working group members needed for the functions required, select work group members based on responses from the membership?s willingness-to-serve.
  2. Facilitate the initial set-up and direction of the special interest working groups.
  3. Collaborate with Information Technology work groups to facilitate communication among special interest work groups.
  4. Attend all Board meetings.
  5. Assume tasks delegated from the Board.
  6. Communicates relevant progress of interest groups to the Board.
  7. Monitors and supports timeliness of work accomplishments by assuming tasks as necessary.
Minimum Qualifications:
  1. Minimum of two years work experience in infection control, epidemiology, or related field.
  2. Current MSIPC membership.


NOMINATIONS CHAIR

Purpose: Directs preparation of a slate of candidates for each election, coordinating and assuring accuracy of the election process in accordance with the Bylaws.
Duties & Responsibilities:
  1. Determine the appropriate number of working group members needed for the functions required, select work group members based on responses from the membership?s willingness-to-serve.
  2. Ensures nomination of required number of candidates for each election slate.
  3. Verifies eligibility of nominees with membership work group.
  4. Responds to requests and communications from the membership by accepting nominations in accordance with the Bylaws.
  5. Together with working group, produces accurate candidate?s biographical sketches, including candidate?s statements, professional background, credentials, activities and goals for the office.
  6. Works with administrative assistant to produce and distribute ballots, receive completed ballots, and record voting results, in accordance with the Bylaws election provisions.
  7. Attends all Board meetings.
  8. Assumes tasks delegated from the Board.
  9. Reports election results to the Board at the next meeting, and to the membership in the MSIPC newsletter following each election.
  10. Monitors and supports timeliness of work accomplishments by assuming tasks as necessary
Minimum Qualifications:
  1. Minimum of two years work experience in infection control, epidemiology, or related field.
  2. Current MSIPC membership.


ADMINISTRATIVE ASSISTANT

Purpose: The Administrative Assistant is a hired position responsible for the smooth operation of the organization in collaboration with Board members. Serves as a liaison between the Board and the organization's membership. Performance review and contractual agreement subject to regular Board approval.
Duties & Responsibilities:
  1. Responds to requests from and communications by the membership.
  2. Coordinates the work of Board members and standing committees of the Board: Prepares and distributes agenda and minutes; facilitates setting of meetings, etc.
  3. Disburses funds to pay expenses.
  4. Collects and deposits revenues (e.g., conference fees, membership dues, exhibits fees).
  5. Plans and confirms details of conferences in coordination with Programs and Education work group chairs.
Minimum Qualifications:
  1. Able to commit a minimum of ten hours per week to business of the organization.
  2. Demonstrates computer skills
  3. Highly organized and committed to accomplish the needs of the organization.
  4. Able to be bonded, in order to facilitate financial transactions.

The Infection Prevention Specialist assesses, evaluates and provides for the needs of the professional staff in the areas of infectious disease and infection control practices. The Infection Prevention Specialist identifies and investigates problems and trends as well as recommends resolutions for prevention of nosocomial infections for patients, staff and visitors. The Infection Prevention Specialist continually analyzes and monitors practices, policies and systems as they relate to standards of the infection control programs serves as a resource person for nursing and other professional personnel. A Bachelor of Science Degree in Nursing or other health related field is required. Graduate coursework in statistics clinical microbiology, epidemiology and infection control is preferred. Master's Degree in Nursing, Public Health or related field is preferred. A minimum of 2-3 years experience in healthcare is preferred.
